How Prestia handles team teaching, composite classes, yard duties and attendance

Bagaimana Prestia menangani team teaching, composite classes, yard duties, dan attendance

Team-taught classes

Selama proses impor timetable, Prestia secara default akan menggabungkan kelas yang memiliki class code yang sama tetapi diajar oleh guru yang berbeda, karena sistem akan otomatis mengenali kelas tersebut sebagai team-taught class.

Contoh:

  • ENGY07A diajar oleh AM

  • ENGY07A diajar oleh JA

Kedua kelas tersebut akan digabung menjadi satu team-taught class dengan kode ENGY07A-AMJA. Perhatikan bahwa inisial masing-masing guru ditambahkan di akhir class code.

Jika Anda tidak ingin kelas digabung dan ingin setiap kelas tetap terpisah, maka Anda harus:

  • Menggunakan class code yang unik untuk setiap kelas, atau

  • Menambahkan suffix unik pada setiap kelas di software timetabling Anda.

Composite classes

Saat mengimpor timetable, Prestia akan membuat composite class ketika beberapa kelas memiliki class code yang sama atau ketika dua atau lebih kelas diajar oleh guru yang sama pada hari dan periode yang sama di timetable Anda. Kondisi kedua ini akan terjadi meskipun kelas tersebut memiliki class code yang berbeda.

Jika Anda tidak menginginkan composite class dan ingin setiap kelas tetap terpisah, Anda harus menggunakan class code yang unik untuk setiap kelas, atau menambahkan unique suffix pada setiap kelas di perangkat lunak penjadwalan Anda. CASES timetabling tidak mendukung opsi unique suffix.

Contoh:

Day 1, Period 3: ENGY07A diajar oleh AM
Day 1, Period 3: ENGY08C diajar oleh AM

ATAU

Day 1, Period 3: ENGY07A diajar oleh AM

Bagaimana jika kami tidak menginginkan kelas yang digabungkan?

Jika Anda ingin mencegah Prestia menggabungkan kelas, aktifkan opsi di Options > Do not create composite classes during timetable import (beta).

Perlu diketahui bahwa fitur ini masih merupakan versi beta, sehingga disarankan untuk mengujinya terlebih dahulu menggunakan timetable untuk tanggal di masa mendatang guna memastikan cara kerjanya dan apakah fitur tersebut sesuai dengan kebutuhan Anda.

Beberapa hal yang perlu diperhatikan:

  • Pada staff dashboard, guru akan melihat semua kelas yang ditugaskan kepada mereka secara berurutan.
  • Pada staff timetable, periode mungkin akan ditampilkan dengan jarak yang tidak merata jika guru mengajar beberapa kelas pada periode yang sama. Hal ini memang dirancang demikian agar tersedia ruang yang cukup untuk menampilkan detail lengkap setiap kelas.
  • Pada Daily Org, seperti di atas, baris guru juga dapat ditampilkan dengan jarak yang tidak merata jika mereka mengajar beberapa kelas.
  • Pada Daily Org, Anda dapat menugaskan satu guru ke beberapa kelas sebagai guru pengganti (cover).

Yard duties

Saat mengimpor timetable baru untuk pertama kalinya, Prestia akan secara otomatis menandai subject dari suatu kelas sebagai yard-duty jika tidak ada siswa yang terdaftar pada kelas tersebut. Hal ini hanya terjadi saat kelas pertama kali diimpor ke timetable di Prestia. Pada proses impor berikutnya, penanda yard-duty tidak akan berubah, meskipun kelas tersebut kemudian memiliki siswa yang terdaftar.

Semua kelas yang subject-nya telah ditandai sebagai Yard duty tidak akan ditampilkan pada student timetable. Anda dapat mengubah perilaku setiap subject beserta kelas-kelasnya (apakah dianggap sebagai yard-duty atau tidak) setelah kelas diimpor dengan mengikuti langkah-langkah berikut.

  1. Klik menu Administration, kemudian klik Subjects pada bagian Timetabling.
  2. Cari subject yang terkait dengan kelas tersebut, lalu centang atau hapus centang pada kotak Yard Duty sesuai kebutuhan.

Apa yang terjadi pada data attendance setelah timetable diimpor

Semua data attendance yang masih valid setelah proses impor timetable akan tetap dipertahankan.

Data attendance dianggap valid apabila kelas tersebut masih ada pada tanggal dan periode yang sama seperti pada timetable sebelumnya.

Semua data attendance yang tidak valid setelah proses impor akan dihapus secara otomatis.

Data attendance dianggap invalid apabila kelas tersebut tidak lagi ada pada tanggal dan periode yang sama seperti pada timetable sebelumnya.

Apa yang terjadi pada scheduled attendance setelah timetable diimpor

Semua scheduled attendance yang berada dalam rentang tanggal yang dipilih saat proses impor timetable akan diterapkan kembali setelah proses impor selesai.

Jika Anda mengimpor ulang timetable dan scheduled attendance tersebut masih relevan dengan student timetable yang telah diperbarui, maka perubahan tersebut akan tetap berlaku. Jika tidak, scheduled attendance tersebut tidak akan lagi diterapkan.

Timetable periods

Saat mengimpor timetable, Prestia akan secara otomatis membuat period baru jika tidak menemukan period yang sudah ada dengan nama atau linked “timetable period” yang sama.

Prestia menyimpan data period secara internal, sehingga Anda dapat mengubah nama period, menghapusnya, bahkan menghubungkannya ke timetable period yang berbeda.

Untuk mencegah timetable period yang pernah diimpor sebelumnya ditampilkan pada timetable di Prestia, Anda harus hide period tersebut.

Jangan menghapus atau membatalkan hubungan (unlink) antara Prestia period dengan imported timetabled period. Jika Anda melakukannya, period tersebut akan otomatis dibuat kembali pada proses impor timetable berikutnya.

Thinking of switching the timetable package you import from? …
Each timetabling package exports its class codes differently. Some packages support suffixes, some don’t. If you were to switch half way through a term or a semester you will end up with duplicate classes. That is because we will not able to match the class codes anymore. We recommend you switch or make major changes to your timetable package at the end of a semester and then import a new timetable.

Team-taught classes

During the timetable import process, Prestia will, by default, combine classes with the same class code and different teachers into one class because it will automatically recognise this class as a team-taught class.

For example:
ENGY07A taught by AM and ENGY07A taught by JA will be combined into one team-taught class ENGY07A-AMJA. Note how the initials of each teacher are appended to the end of the class code.
If you do not want combined classes and would like each class to remain separate, then you must either use a unique class code for each class, or add a unique suffix to each class in your timetabling software.
CASES timetabling does not support the unique suffix option.

Composite classes

When importing a timetable, Prestia will create a composite class when multiple classes share the same class code or when two or more classes are taught by the same teacher on the same day and same period on your timetable. The latter instance will occur even if the class has a different class code.
If you do not want composite classes and would like each class to remain separate, then you must either use a unique class code for each class, or add a unique suffix to each class in your timetabling software. CASES timetabling does not support the unique suffix option.

For example:
Day 1, Period 3: ENGY07A taught by AM
Day 1, Period 3: ENGY08C taught by AM

OR

Day 1, Period 3: ENGY07A taught by AM
Day 4, Period 5: ENGY07A taught by MB

These will be combined into one composite class.

What if we don’t want combined classes?

If you wish to stop Prestia from combining classes, enable the option under Options > Do not create composite classes during timetable import (beta). Please note this feature is a beta version and is recommended that you test it out with your timetable for a future date to see how it works and if it will work for you.

Some things to note:

  • On the staff dashboard, the teacher will see all classes they are assigned to, one after the other.
  • On the staff timetable, the periods may be unevenly spaced if the teacher is taking multiple classes in one period – this is by design, to allow enough space to see the full details of each class.
  • In Daily Org, as above, the teacher rows may be spaced unevenly if they are taking multiple classes.
  • In Daily Org, you will be able to assign one teacher to multiple classes as a cover

Yard duties

When importing a new timetable for the first time, Prestia will automatically flag the ‘subject’ of a class as a yard-duty if there are no students in the class. This only occurs the first time a class is imported to a timetable in Prestia. On later imports, the yard-duty flag will not change, even if the class now has students enrolled in it.

All classes whose subjects have been flagged as ‘Yard duty’ will not show on student timetables. You can change the behaviour of each subject and its classes (whether they should be considered as yard-duty or not) after the class has been imported by following these steps.

  1. Click on the Administration menu, then click on Subjects under the Timetabling section.
  2. Find the subjects related to the classes and then select or deselect the Yard Duty check box as required.

What happens to attendance data after a timetable is imported

Any attendance data that is still valid after a timetable import will remain untouched. Attendance data is considered ‘valid’ when a class still exists on the same date and period of the previous timetable.
Any attendance data that is invalid after the import is automatically removed. Attendance data is considered ‘invalid’ when a class does not exist on the same date and period of the previous timetable.

What happens to scheduled attendance after a timetable is imported

All scheduled attendance that falls into the date range selected during the timetable import is reapplied after the import. If you re-import a timetable and the scheduled attendance is still relevant to the updated student timetable, the changes will still be applicable. Otherwise, the scheduled attendance will no longer apply.

Timetable periods

When importing a timetable, Prestia will automatically create a new period if it can not find an existing period with the same name or linked “timetable period”. Prestia keeps its own internal records of periods – allowing you to change period names, delete them and even link them to different timetable periods.

To prevent a previously imported timetable period from displaying on your Prestia timetables, you must “hide” the period. Do not delete or unlink the Prestia period from your imported timetabled period. Doing so will cause the period to be automatically created again during the next timetable import.
